Overview: The position of Production Manager for SayPro’s physical marketing materials focuses on overseeing the entire production process, ensuring that all printed and embroidered materials meet SayPro’s high standards of branding, quality, and consistency. This role plays a critical part in managing the operational side of marketing material creation, from ordering to delivery.

Key Responsibilities:

  1. Production Oversight:
    • Supervise the production of all physical marketing materials, including printed items and embroidered products.
    • Ensure the final products meet SayPro’s established branding guidelines, color schemes, logo usage, and overall quality standards.
    • Coordinate with external vendors, printers, and embroiderers to ensure timely and accurate execution of orders.
    • Ensure that SayPro’s brand message is consistently represented across all physical marketing materials.
  2. Record Keeping and Reporting:
    • Maintain detailed and organized records of all printing and embroidery orders. This includes tracking:
      • The number of items produced (e.g., brochures, shirts, banners, etc.).
      • The associated costs for each project.
      • Delivery dates and lead times.
    • Ensure that all records are easily accessible for future reference and audit purposes.
    • Provide regular updates to senior management on the status of ongoing projects. This includes cost reports, production timelines, and any potential delays or issues that may arise.
  3. Project Management:
    • Monitor the production timelines and manage delivery schedules to ensure that all marketing materials are ready on time for campaigns and promotional events.
    • Track the progress of printing and embroidery orders to avoid production delays and ensure that items are produced according to specifications.
    • Handle any issues that may arise during the production process, such as quality concerns or material shortages, and work towards resolving them promptly.
  4. Quality Assurance:
    • Oversee the quality control of all physical marketing materials before they are delivered or distributed, ensuring they meet SayPro’s standards.
    • Conduct final inspections of printed and embroidered items to ensure that materials are free from defects, such as color mismatches, printing errors, or fabric inconsistencies.
    • Coordinate with quality assurance teams or vendors to ensure that proper testing is carried out before the final production run.
  5. Collaboration with Marketing Team:
    • Work closely with the SayPro marketing team to understand the specific branding needs for each project and ensure that physical materials align with campaign strategies.
    • Provide input into the design and concept phases, offering feedback on production feasibility and cost-effective options.
  6. Budgeting and Cost Management:
    • Keep track of the project budget for all marketing material production, ensuring that costs remain within allocated budgets.
    • Provide senior management with regular cost updates, identifying any areas where savings can be made without compromising the quality or integrity of the materials.
  7. Vendor Management:
    • Establish and maintain strong relationships with trusted printing and embroidery vendors.
    • Negotiate pricing, production timelines, and delivery terms to achieve the best value for SayPro while maintaining high standards.
    • Monitor vendor performance to ensure that they consistently meet expectations for quality, reliability, and delivery schedules.
  8. Documentation and Reports:
    • Produce monthly reports that detail the status of all printing and embroidery orders, including any challenges or obstacles encountered during the production process.
    • Prepare comprehensive documentation on the total costs associated with each marketing material initiative, ensuring transparency and effective budgeting.
  9. SayPro Brand Materials Office Coordination:
    • Coordinate the management and storage of all printed or embroidered materials in the SayPro Brand Materials Office.
    • Ensure that materials are organized, cataloged, and ready for distribution as needed by the marketing team.
  10. SayPro Marketing Royalty Compliance (SCMR-13):
  • Ensure that all marketing materials produced comply with the SayPro Marketing Royalty standards outlined in the SCMR-13 guidelines.
  • Adhere to royalty-specific requirements related to branding consistency, quality standards, and usage rights.

Qualifications and Skills:

  • Proven experience in production management, particularly in the creation of printed or embroidered marketing materials.
  • Strong understanding of branding, quality assurance, and project management principles.
  • Excellent organizational skills with attention to detail in record-keeping and reporting.
  • Ability to manage multiple projects simultaneously while maintaining high standards of quality and timeliness.
  • Strong communication and vendor management skills, with the ability to build and maintain productive relationships with external partners.
  • Experience with budgeting and cost tracking for marketing projects.

Working Conditions:

  • The role will require periodic site visits to production facilities or vendor locations.
  • The individual may need to manage multiple production timelines concurrently, requiring the ability to work under pressure to meet deadlines.
