Position Overview:
The Event Coordinator is a key role within the SayPro Development 5 Days Faith-Based Camp, responsible for ensuring the smooth operation of all activities, sessions, and events during the 5-day program. This position involves coordinating schedules, managing logistics, and ensuring that participants experience a seamless blend of religious instruction, community-building, and personal development. The Event Coordinator will work closely with religious leaders, facilitators, and other camp staff to ensure that each event runs on time, aligns with the camp’s goals, and delivers a positive impact on participants.
Key Responsibilities:
1. Schedule Management:
- Coordinating Daily Schedules: Develop and oversee the day-to-day schedule for the 5-day camp, ensuring that all events, activities, and sessions run smoothly and according to plan. This includes coordinating times for religious teachings, group discussions, meals, community-building activities, and reflection periods.
- On-time Execution: Monitor the flow of activities to ensure that all events start and end on time. This includes ensuring facilitators, speakers, and activity leaders are on schedule.
- Real-time Adjustments: Handle any last-minute changes or emergencies with flexibility and problem-solving skills, ensuring minimal disruption to the camp’s flow.
2. Event Coordination & Logistics:
- Pre-Camp Planning: Collaborate with the leadership team and facilitators to ensure all logistics for activities are set up ahead of time, including space, equipment, and resources.
- Venue Preparation: Ensure all venues (workshops, outdoor activities, prayer areas, dining halls, etc.) are prepared and appropriately arranged for each activity and group size.
- Materials Management: Organize and distribute event materials, including schedules, handouts, religious texts, workshop tools, and other resources needed for activities and lessons.
3. Participant Experience:
- Participant Coordination: Ensure that all participants are well-informed about the schedule and any changes. This includes making sure everyone knows where to be and when, and providing assistance when needed.
- Monitoring Engagement: Oversee participant engagement during religious instruction and community activities, ensuring that all participants feel included and supported.
- Problem-Solving: Address any participant issues, concerns, or logistical challenges that may arise, ensuring a positive experience for everyone.
4. Communication and Collaboration:
- Team Coordination: Work closely with camp leaders, facilitators, and volunteers to ensure smooth communication about schedules, changes, and logistical needs. Ensure that everyone is aligned with the program’s goals and timelines.
- Facilitator Support: Communicate with workshop leaders, religious instructors, and guest speakers to ensure they have all necessary materials, are aware of the schedule, and are supported during their sessions.
- Regular Updates: Provide real-time updates to the camp team on the status of events, including any delays, issues, or changes that may impact the schedule.
5. Problem Resolution and Flexibility:
- Contingency Planning: Be proactive in identifying potential scheduling conflicts or logistical challenges ahead of time and develop contingency plans.
- Quick Thinking: Respond quickly and calmly to unexpected changes in the schedule or emergency situations, such as weather delays, participant health concerns, or equipment failures, while maintaining the overall camp experience.
6. Post-Camp Evaluation and Feedback:
- Collecting Feedback: At the end of the camp, coordinate the collection of feedback from participants and staff regarding the event’s scheduling, logistical operations, and overall experience.
- Event Debrief: Participate in post-camp evaluations, providing insights into what worked well and what could be improved for future events, particularly related to schedule management and event flow.
Qualifications:
- Experience: At least 2-3 years of experience in event coordination, preferably within faith-based or community-oriented settings.
- Skills:
- Strong organizational and time-management skills.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple tasks and projects simultaneously under pressure.
- Problem-solving ability and flexibility in adapting to changes quickly.
- Familiarity with faith-based programming, community activities, and religious instruction is a plus.

Working Conditions:
- Location: The Event Coordinator will work on-site at the SayPro Development 5 Days Faith-Based Camp. The camp will take place in a retreat-style environment, with a combination of indoor and outdoor activities.
- Hours: Full-time during the duration of the camp, with pre-camp planning and post-camp evaluation. Must be available for the entire 5-day duration of the camp.
- Physical Demands: Must be able to walk, stand, and move between different camp locations, often in outdoor environments. Some lifting of materials and event setups may be required.
