Job Purpose:
The Event Coordinator for Family Support will play a key role in maintaining communication with families before, during, and after the 5-Day Faith-Based Camp. This position is responsible for ensuring families are fully informed about the camp’s schedule, objectives, and activities, allowing them to actively engage in and support their child’s spiritual journey. The coordinator will also act as a resource for families, addressing any questions or concerns, and helping create a seamless connection between the camp experience and participants’ home lives.
Key Responsibilities:
- Pre-Camp Family Communication:
- Welcome and Orientation: Initiate contact with families before the camp to provide essential information about the camp’s schedule, objectives, location, and any specific requirements (e.g., packing lists, registration details).
- Information Dissemination: Ensure that families receive all the necessary details about the camp well in advance, including religious activities, community service initiatives, and key camp policies.
- Parent/Guardian Involvement: Coordinate any required parent meetings or informational sessions to help families understand the spiritual focus of the camp and how they can support their child’s experience.
- Registration Support: Assist families with registration processes, addressing any concerns or special needs related to their child’s participation, such as dietary restrictions, medical considerations, or special accommodations.
- Ongoing Family Engagement During Camp:
- Daily Updates: Provide regular updates to families during the camp, including highlights from the day, spiritual milestones, and key moments from activities. These updates can be sent through email, text, or social media, depending on the communication preferences of the families.
- Emergency Communication: Serve as the primary point of contact for families in case of emergencies or urgent matters, ensuring that families are kept informed about any situations that require their attention.
- Facilitating Family Feedback: Maintain an open line of communication, inviting families to share feedback, concerns, or questions regarding their child’s experience. Ensure that their needs are addressed promptly and effectively.
- Encourage Involvement: Foster family engagement by encouraging parents to attend special events, like a family prayer session, closing ceremony, or a community service project, if applicable.
- Family Support & Counseling:
- Listening and Support: Be available to listen to and support families with concerns related to their child’s participation in the camp, addressing any spiritual, emotional, or logistical questions that arise.
- Conflict Resolution: Provide guidance and support in resolving any conflicts that may arise between campers or families, ensuring that resolutions align with the camp’s values of respect, understanding, and love.
- Referral to Pastoral Support: If families require deeper counseling or spiritual support, refer them to appropriate pastoral staff or religious leaders within the camp.
- Post-Camp Family Communication:
- Follow-Up Communication: After the camp ends, maintain communication with families to gather feedback about the camp experience, including their child’s spiritual growth and overall satisfaction.
- Post-Camp Evaluation: Provide families with an opportunity to offer feedback through surveys or direct communication, helping assess the effectiveness of the camp and identify areas for improvement.
- Continued Engagement: Encourage families to stay involved in the camp’s faith-based community after the event by providing information about follow-up programs, upcoming religious events, or opportunities for family volunteering.
- Camp Reflection and Spiritual Growth Support:
- Spiritual Integration: Help families understand how their child’s spiritual journey during the camp can continue at home. Provide resources, such as recommended readings or prayers, to assist in nurturing their child’s growth after the camp concludes.
- Facilitate Parent/Child Discussions: Encourage and guide parents to have meaningful discussions with their child about what they learned during the camp, facilitating a deeper connection between the child’s experience at the camp and their home life.
- Celebrate Milestones: Help families celebrate their child’s spiritual milestones, such as completion of a Bible study, successful participation in a service project, or personal reflections shared during camp.
- Documentation & Reporting:

- Reporting to Program Manager: Provide regular reports to the camp’s program manager on the status of family engagement, highlighting any issues, needs, or concerns raised by families.
- Feedback Collection: Collect and summarize family feedback after the camp to contribute to the overall evaluation of the event, ensuring that future camps can be improved based on family input.
Required Qualifications:
- Education & Experience:
- A degree in Social Work, Event Management, Education, Theology, or a related field is preferred.
- Previous experience in event coordination or family support roles, particularly in faith-based or community settings, is highly desirable.
- Experience working with children, families, and faith-based communities is a significant advantage.
- Skills & Competencies:
- Excellent interpersonal and communication skills, both written and verbal, with the ability to build rapport with families and staff.
- Strong organizational and multitasking abilities, with attention to detail.
- High level of emotional intelligence and the ability to remain calm and supportive in challenging situations.
- Ability to engage families in the spiritual development of their children, ensuring they are informed and involved.
- Familiarity with event management tools, digital communication platforms (email, SMS, social media), and family engagement strategies.
- Ability to maintain confidentiality and handle sensitive information with care.
