1. Objective of the Post-Competition Follow-Up

The SayPro Post-Competition Follow-Up is a structured process aimed at:

  • Acknowledging all participants for their efforts and engagement.
  • Communicating competition results transparently and publicly.
  • Providing feedback to participants to support their growth and development.
  • Delivering prizes, certificates, and recognitions to the winners and notable participants.
  • Sustaining relationships with participants, judges, and partners for future competitions.

2. Detailed Components of Post-Competition Follow-Up

A. Communication of Results

Once the judging process is completed and winners are finalized, the SayPro Development Competitions Office will:

  • Prepare an Official Results Announcement including the list of winners, runners-up, honorable mentions, and special awards.
  • Publish the results on all SayPro digital platforms, including:
    • SayPro Website
    • SayPro Social Media Channels (Facebook, Twitter, LinkedIn, Instagram)
    • Email Newsletters
    • Partner and Sponsor Websites (where applicable)
  • Issue a Press Release to relevant media outlets and SayPro stakeholders.

Timeline: Within 3-5 working days after the conclusion of judging.


B. Direct Communication to Participants

Personalized Emails/Letters:

  • Send a Thank You Letter to all participants, acknowledging their effort, creativity, and commitment.

  • Share links to view the winners’ projects, recorded award ceremony (if applicable), and media articles.

Judges and Partners Acknowledgement:

C. Feedback Provision

To encourage continuous improvement and learning, each participant will receive:

  • A Participant Feedback Report highlighting the judges’ comments on:
    • Strengths of their submission.
    • Areas of improvement.
    • Suggestions for future competitions.
  • A Summary of Evaluation Criteria & Scores.
  • Links to learning resources, SayPro programs, or workshops related to science and technology development.

D. Delivery of Prizes, Certificates, and Recognition

1. Prizes & Awards Distribution

  • Coordinate the distribution of all promised prizes, which may include:

2. Certificates of Participation & Recognition

  • Design and issue Certificates of Participation to all valid participants.
